AMFG's Email Integration feature bridges the gap between your standard email mailbox and your production dashboard. By connecting your preferred email client, the software automatically scans and imports customer communication as soon as it is received.
Integrating your inbox ensures that part files, order updates, and technical inquiries sent via email are consolidated directly within your Requests workspace—improving response times and maintaining consistent communication history across your team.
1. Supported Email Providers
AMFG natively integrates with modern email protocols. You can sync your inbox if you utilize any of the following enterprise or consumer email ecosystems:
Microsoft Office 365
Outlook & Hotmail
Microsoft Exchange Server
Gmail / Google Workspace
2. Connecting Your Inbox
Follow these steps to authorize AMFG to connect with your email client's secure infrastructure:
Step 1: Navigate to the menu of your Management Console and open Settings.
Step 2: From the left-hand navigation sidebar, select Email Integration.
Step 3: Click the prominent "Connect Your Account" button centered on the main workspace.
Step 4: A secure authorization window will pop up. Choose your provider from the grid. If you are using a customized internal server layout, click View all providers to reveal extended connection protocols.
Step 5: Complete the prompt to securely sign in and authorize the integration permissions.
3. Managing Account Sharing (Shared Inbox Control)
Once authentication succeeds, you must designate whether the synced email address functions as an individual mailbox or an organizational shared asset.
Shared Status (Toggle ON): Ideal for general distribution inboxes like
sales@,info@, orestimating@. Turning this toggle ON permits all permitted internal AMFG platform users within your business entity to view, process, and reply to inbound emails from the centralized workspace.Private Status (Toggle OFF): Ideal for individual estimator or project manager accounts. Inbound traffic remains visible solely to you.
To extend email availability to your broader AMFG team, shift the toggle to ON and click Save:
4. Refining Your Synchronization Framework
To keep your dashboard clear of junk data and irrelevant internal threads, you can explicitly configure which folders or labels synchronize with AMFG:
Option A: Synchronize all incoming emails: Maps your generic global inbox folder cleanly to the dashboard.
Option B: Synchronize only emails with certain labels: Allows you to mark checkboxes next to specified mail folders. Use this approach to actively parse or exclude targeted categories like Spam or Trash.
💡 System Note: The term "Labels" maps directly to the designated structural Folders configured within your native email provider's user interface.
5. Setting Email Link Preferences
AMFG simplifies thread management by matching incoming conversations against ongoing projects. Select your tracking methodology:
Automatic Ticket/Order Matching
When enabled, AMFG searches metadata inside inbound email messages. If it identifies an existing thread or customer relationship that matches a live Ticket or Work Order, it automatically appends the text to that Ticket's Activity log window.
Manual Verification
Alternatively, select "Link manually" if your machine shop processes highly variable client files. This configuration lets you visually review incoming correspondence from your central email queue and select the exact job log to append it to. You can map messages on-the-fly using the Communication Widget embedded inside any Ticket or Work Order view.
6. Setting Up Mailbox Rules
The platform acts as an automated intake gatekeeper for your incoming manufacturing orders. By setting up Mailbox Rules, you can automatically create new Tickets in the AMFG platform based on keywords detected within your incoming communication.
Step-by-Step: Setting Up a New Mailbox Rule
Follow these steps to establish a new automation rule for your inbound emails.
Step 1: Access Inbound Email Rules
Navigate to the Management Console.
Go to Settings > Email Integration.
Scroll down to the RULES layout block and click the Add new rule button located in the top-right corner.
Step 2: Configure the Rule Parameters
Clicking the button opens a configuration card with three primary fields:
Description: Enter a distinct, scannable title for your automation.
Tip: We highly recommend stating the active parameter directly—such as "Generate New Quote Request via Inbound RFQ Folder Submission"—so your estimating team can identify its target utility at a glance.
Email Sent To: Define your organization's linked target inbox or department alias address (e.g.,
estimating@yourmachineshop.com).
Select Rule (Dropdown): Choose the filter event or condition logic that triggers this rule. This dropdown controls your keyword integration strings, enabling the platform to search for specific included or excluded phrasing within the email properties.
Step 3: The Critical Role of Keywords
Once your inbound emails are pulled into the application, the system routes them through an automated keyword filter pipeline:
Ticket Generation: If an included keyword phrase matches your parameters (e.g., "Quote Request", "CNC Quote", or "3D Print RFQ"), the software automatically triggers an automation sequence to provision a brand-new processing ticket from that email.
Clutter Prevention: If an excluded keyword is flagged or if required terms are missing, the email is safely filtered out from creating a ticket. This protects your management console from spam or unrelated transactional traffic.
Step 4: Finalize Your Logic
Save Rule: Commits your parameters, links the routing path, and activates your live trigger parameters immediately.
Cancel: Discards your text entries and returns you safely to the main automations board without altering system properties.
Accessing Automated Tickets in the Console
For this automation loop to resolve successfully, your corporate email profile must be fully linked inside your platform workspace.
When an inbound message fulfills your designated keyword requirements, AMFG seamlessly creates a new Ticket and routes it directly to your Requests ➔ Emails & Tickets Overview workspaces.
Critical System Maintenance
⚠️ Important: Token Re-Authentication Note
Because email links use secure, token-based authentication protocols, your connection will break if your corporate IT ecosystem forces an email password rotation or profile update. You must return to the Email Integration page to re-authenticate and reconnect the mailbox string to AMFG whenever your IT credentials change.
