Tracking Shipping and Delivery Dates

AMFG now provides end-to-end visibility on shipping and delivery timelines. Users can track dates from the initial quote through to the final parcel creation, allowing for precise delay monitoring at every stage of the production process.

Shipping Date

The estimated date the part will leave the facility.

Defined from the Quotation Form by the Shipping Date field (calendar) OR calculated via Production Time.

Requested Delivery

The original delivery date promised at the time of order.

Shipping Date + Delivery Time. This value is defined and fixed once the Work Order is created.

Shipping Deadline

The evolving date for shipping based on real-time production status.

Matches Shipping Date initially, can be updated manually for parts or individual items during production.

Forecast Delivery

The real-time estimated delivery date.

Shipping Deadline + Delivery Time. Updates automatically if production delays occur (Shipping Deadline changes).

Actual Shipping Date

The confirmed date the shipment is processed.

Defined when the parcel is created in the system.

Estimated Delivery

The final delivery estimate based on actual dispatch.

Actual Shipping Date + Delivery Time.


Step 1: Quoting and Portal Orders

When a Quote is created in the Management Console or an order is placed via the Portal, the system populates the Shipping Date per part.

You have two options to define this:

  1. Shipping Date Field: Select a date from the calendar. The system automatically filters out holidays and accounts for lead times.

  2. Production Time: The system calculates the date based on your lead time settings.

Note: We recommend using only one method. If both are filled, the Shipping Date field will take precedence.

The Shipping Date remains "live" based on the Production Parameters and will refresh whenever you apply a new Production Time or manual date.

Step 2: Conversion to Order (Sent to Production)

Once the ticket is converted to an order, the Requested Delivery date is populated. This represents the "snapshot" of the delivery promise at the moment of order and never changes.

  • Logic: Shipping Date (at time of order) + Delivery Time (Advanced Delivery method).

Step 3: Production Tracking

During production, the Shipping Deadline becomes the active variable.

  • If a part has multiple items, the Shipping Deadline for the part will equal the latest deadline of its items.

  • The Forecast Delivery will update in real-time to reflect any changes made to the Shipping Deadline.

Step 4: Dispatch and Delivery

When a parcel is created, the Actual Shipping Date is set. From this, the system generates the Estimated Delivery (Actual Shipping Date + Delivery Time).


External Communication and Integration

All variables mentioned above are available for external use to keep your customers informed:

  • JSON Push: All dates are included in the Order push message.

  • Templates: Use these variables in PDF and email templates under the Shipping category:

    • add requested_delivery

    • add forecast_delivery

    • add estimated_delivery
