Utilizing the Emails Dashboard
Once your email system is integrated with AMFG, you can seamlessly manage all project communications directly from the Emails dashboard. This page also features standard filtering and data exporting (via PDF or Excel) options similar to the Tickets Overview page.
Follow the steps below to streamline your workflow:
1. Navigate to the Emails Page - In the left-hand navigation menu, select Requests > Emails.
2. Convert Unassigned Emails: For any unassigned incoming emails, click Create Ticket to automatically generate a new ticket linked to the sender's email address.
3. Create Multiple Tickets from Emails: Select multiple emails from the list to create a separate ticket for each of them simultaneously.
4. View and Manage Ticket Details: Click on any ticket number in the Ticket column to go directly to the Ticket View on the Part Preparation page. From here, you can manage all information and assets linked to the request. (For further details, see the Tickets Overview - Part Preparation Guide).
Automating Ticket Creation with Email Keywords
Note: Before this automation will function, you must have your email integration fully set up and configured. This allows the system to process incoming communications according to your predefined criteria.
Step 1: Configuring Keywords in the Email Integration Rules
To set up the initial automation, navigate to the Email Integration section from the left-side navigation menu. Under the RULES tab, you can manage and create rules that trigger specific actions based on the content of incoming emails.
The first screenshot displays a rule configuration where:
Rule Description: An active rule has been created and named "Create a ticket."
Email Integration: The rule is applied to a specific email address recipient inbox.
Keyword Triggers: The crucial configuration is the List of included keywords. Here, you specify the terms that will trigger the automatic creation of a ticket. In this example, the keywords are "test," "TEST," and "Test" (please note that keywords are case-sensitive!). Once these keywords are set and the rule is saved, the system will monitor incoming emails for these terms.
Step 2: Automating Ticket Creation in the Emails Section
Once your keyword rules are active, any incoming email matching your criteria will automatically be processed into a new ticket. Navigate to the Requests -> Emails page to view the automated results.
The second screenshot demonstrates this automation in action:
Subject Matching: An incoming email with the subject line "RULE TEST" is received. This keyword ("TEST") matches one of the criteria set in the previously configured rule.
Automatic Ticketing: Because the incoming email matches the keyword criteria, the system has automatically created a ticket. In the Ticket column, notice that for other emails, there is an active "CREATE TICKET" button instead. However, for the matching email, this button is absent, replaced by a unique ticket ID (e.g., TI-00108). The ticket is immediately generated and linked to the correct request details as part of the automated workflow.
